# Collaboration & Teams

Multiple user accounts can be registered to an organisation in CAASie, regardless of the account type, in order to keep your colleagues in the loop. You can invite any number of users to your organisation, and a user can be involved in any number of organisations.

### How do you add more users to your CAASie organisation?

All you need in order to invite a colleague into your organisation account is their email address.

Invite recipients will receive an email prompting them to sign up to CAASie with their own login details. Once they have their account created, they will be automatically added to the organisation they were invited to.

Users who already have a CAASie login attached to their email address will be automatically added to an account with the permissions you choose; no need to sign up again. Access is granted immediately using the existing login.

#### **How do you send an invite on CAASie?**

Navigate to the 'Users & Permissions' tab in your organisation overview page. (You can get to this page by clicking 'manage' at the bottom of the menu bar.)

You will find a button to invite a user, which will prompt you to enter their email address, as well as the permission level the user will have once added.

### What are permissions on CAASie?

There are three user permission levels on CAASie. These dictate what a user can and cannot do within the organisation’s account.

* **Admin** - Admin has free rein and control over all things relating to the organisation and activities within the account.
* **Worker** - Workers have control over most campaign activities within the organisation's account. They cannot edit any properties of the organisation itself.
* **Observer** - Observers can view any pages/sections and campaigns within the organisation. They cannot edit anything within an organisation, including campaigns.

Additionally, Worker and Observer permissions cannot add/remove staff from the organisation or perform any financial activities, such as loading credit (including for client organisations within agency accounts).

Any admin user can change the permissions of another user in the organisation.

There must always be at least one admin in every organisation.

Permissions work independently for each organisation, eg. Admin permissions in one organisation and worker permissions in another.

### **How do I remove staff from an organisation?**

Any staff member with admin permissions can remove an existing staff member from an organisation. In the event that a staff member has left the business, this is recommended.

You can do this by simply clicking on the 'remove' button next to the user's name in the 'Users & Permissions' tab.

Make sure to add a new admin first if you want to remove the only existing one.

### What are teams on CAASie?

**Team settings are not automatically active.**

This feature is entirely optional. Most organisations choose not to implement it. You can switch it on in your organisation settings.

You may have campaigns that are sensitive, or you may want to declutter user workspaces if you have a lot of people working in one organisation. Teams offers additional restrictions specifically for campaigns for a controlled workspace for Worker and Observer users.

A user within a team can't view or manage campaigns that are not created specifically for that team.

**Example:** If a user in 'Team Blue' creates a campaign for 'Blue Store', only other 'Team Blue' users will be able to view and modify the campaign. It is not accessible to everyone in the organisation.

A single user can be included in multiple teams within the same organisation. When first added, they will be sorted into a default team until an admin adds them to a new team.

New campaigns will need to be allocated to an existing team to ensure that only that team can access the campaign. You can't assign a campaign to a team you are not already in.

**Example:** If you are on 'Team Blue' and 'Team Green', you cannot assign a campaign to 'Team Red.'

Before creating your campaigns, make sure to first create your teams. If you belong to that team, remember to invite yourself as well.

### What if I want to share information without adding a user?

You may want to share information with clients or colleagues without giving them access to the organisation. For this, CAASie has a 'share' option, which you can read about [here](/account-management/share-with-clients.md).

Sharing does not require a login and does not give the recipient access to information outside of what you have shared with them.
