1. Artwork Review & Approval Process
1.1 CAASie & Media Owner Review
CAASie’s Pre-approval
CAASie reviews submitted ads to ensure compliance with platform policies, professional standards, and legal requirements.
Reviews are typically completed within 24-48 business hours (Brisbane, Australia time).
If concerns arise, CAASie may reject the ad or request modifications before forwarding it to Media Owners. If CAASie determines that a Media Owner is unlikely to approve the ad, we may not pre-approve the ads.
Some Media Owners enforce minimum spend requirements—ads may not be approved if the campaign budget is too low.
Media Owner’s approval
Media owners have final approval and may impose additional restrictions based on their policies, location, or venue type. Some councils and landlords may further influence ad content approval.
Media Owners may take up to 7 business days to review ads, depending on their region.
Some restricted content/categories (such as political or gambling ads) may require additional processes/set-up prior to approval.
1.2 Approval Criteria
Your ad may not be approved if:
It is prohibited content according to this ad policy
If it is restricted content that does not comply with this ad policy
The ad doesn’t match the organisation details provided on sign up
It is unclear or unreadable, or does not meet professional billboard/display standards or the design requirements in the ad policy
It lacks a clear advertising message or does not match the brand/product being promoted.
It contains ambiguous content that a viewer unfamiliar with the brand wouldn’t immediately understand.
It presents a safety or community risk
It is not in the local language (without a translation)
It conflicts with a competing venue’s interests
It violates location or venue specific restrictions
It is restricted by country-specific regulations
It contains personal or non-business content, which may be approved only at CAASie and the Media Owner’s discretion.
It does not fully comply with all of CAASie’s Advertising Policies.
1.3 Post-Review Process & Next Steps
If Your Ad Is pre-approved, CAASie forwards the ad to the relevant Media Owners for their final approval.
If Your Ad Is Not pre-approved, you will receive an email notification (if your account notification settings are turned on). If no email is received, contact support@caasie.co or use live chat for assistance.
There will be no email notice for media owner approvals, you can check the status in the artworks section of your campaign.
Media Owners are not required to provide reasons for disapproval. If they share concerns, CAASie will pass the information on. Direct communication with Media Owners regarding artwork approvals is not permitted.
Appeals & Modifications
- If CAASie disapproves an ad, reach out to our team for guidance on modifications. - If a Media Owner disapproves an ad, their decision is final and cannot be appealed.
Checking Your Approval Status
In your campaign dashboard (Artworks tab), approval statuses are indicated by colored dots:
Hover over the dot to see which Media Owners have approved or rejected the ad.
Click to refresh the status if needed
If one Media Owner rejects the ad while another approves it, the ad will only run on the approved screens.
2. CAASie Ad Design Policy
To ensure ads are clear, professional, and effective, the following artwork design requirements must be met
2.1. Layout & Design Integrity
Artwork must fit the required dimension exactly, without excessive borders or cropping.
Artwork must have at least a 5% safe margin from all edges and artwork's content must utilise at least 70% of the ad space without being cluttered.
Text and images must follow consistent alignment, placement, and hierarchy appropriately throughout the ad.
2.2. Content Quality & Standards
Images and text cannot be blurry, pixelated, and must be large and readable.
Videos cannot contain rapid movement, excessively loud audio, or 'glitch', 'static', or 'strobing' effects, that cause the advertising panel to appear damaged
Videos are not permitted on roadside billboards.
Ads cannot disparage or lead to negative commentary on the board owner, property owner, or venue.
Backgrounds cannot be transparent and must have sufficient contrast to their text and content.
Strictly no excessive use of yellow, orange, or red that could be confused with safety or warning signs.
Some regions / media owners may require ads to be of professional quality and nature (e.g. no memes, emojis, etc.).
2.3. Branding Identity and Call-to-action (CTA) Functionality
Ads must include the brand name or logo of the advertised business and have a clear message / call to action (CTA).
Advertiser identity in CAASie, including any advertised business contact details, must match the advertised content.
Websites and QR codes must be active, functional, and accessible.
QR codes are not permitted where unsafe - such as roadsides and stairways.
Some regions / media owners may require a website on ads.
2.4. Transparency, Disclosures, and Intellectual Property & Third-Party Rights
Ads must be written in a common language / dialect for the region, or otherwise contain a full translation in that language.
Offers and promotions must include T&Cs and outline the promotional period, and all claims must be substantiated within the ad.
Some regions may require additional regulatory body approvals for offers, promotions, and claims (e.g., CAP/ASA in the UK).
Disclaimers (including T&Cs and political ad authorisations) must be large enough to read on all formats.
Standard disclaimers (including sensitive content): Text must be at least 6% of the shortest ad dimension
No copyright, trademark, privacy, or proprietary rights violations.
No unauthorized use of images, music, or video content.
3. CAASie Prohibited Content Policy
To maintain a professional, ethical, and legally compliant advertising environment, the following content is strictly prohibited:
3.1. Illegal, Unsafe, or Misleading Content
No ads promoting or facilitating illegal products, services, or activities.
No ads targeting or appealing to minors with content that is illegal, exploitative, or intended for mature audiences, including weight loss, contraceptives, alcohol, or gambling / wagering.
No ads containing deceptive, misleading, false or unproven claims, or promotion of counterfeit documents.
No ads promoting pyramid schemes, payday loans, pay slip advances, bail bonds, or short-term loans under 90 days.
No ads containing links or QR codes that point to payment or 'direct to check out' pages.
3.2. Prohibited Products & Services
No ads referencing tobacco, vaping, or e-cigarettes.
No ads referencing cannabis or cannabis related products (except in some areas of USA, see Cannabis Advertising Policy (USA))
No ads referencing weapons, ammunition, or explosives.
No ads referencing the sale of body parts or fluid.
No ads containing adult products, escort services, sexual entertainment, or pornography.
No ads containing sexually suggestive imagery, or gratuitous nudity (including swimwear or underwear).
No ads containing depictions of minors (or individuals appearing as minors) in inappropriate contexts.
3.3. Health, Safety, and Personal Well-Being
No ads referencing prescription or recreational drugs, injections, or needles (including in any imagery).
No ads contradicting health and safety standards, or promoting unsafe supplements or medical misinformation.
No ads that could generate negative self-perception (e.g. in relation to diet, weight loss, or personal health).
3.4. Ethical, Cultural, and Social Responsibility
No ads containing violence, gore, or offensive language or images including the presence of offensive cultural symbols (e.g. swastikas).
No ads containing discriminatory content based on but not limited to: race, gender, religion, disability.
No ads designed to be sensational or controversial, including name & shame campaigns or politically charged content.
No ads containing religiously charged content, or religious imagery or references that aren't directly relevant to the advertised product / service.
No ads that could resemble, impersonate, or create confusion with: official police, emergency services, or government communications.
No ads that breach community standards and or could be considered culturally inappropriate for their location.
4. CAASie Restricted Content Policy
Certain content is restricted on CAASie and may require additional approvals or vary by region due to legal, cultural, or industry regulations. Advertisers must ensure compliance with all relevant laws and advertising policies.
4.1. Food & Beverage Restrictions
Ads referencing food that could be considered 'unhealthy' is restricted in some regions:
AU: foods with a Health Star Rating below 3.5 may be restricted.
UK: high fat, salt, and sugar (HFSS) foods (including incidental depictions, such as a bowl of chips on a desk in an office setting) require Committees of Advertising Practice (CAP) approval.
Brand-only advertising (that does not reference the individual food item) may be allowed in cases where the food product itself is not.
Some regions / media owners may apply additional restrictions for advertisements near schools, medical centers, or health-related venues, etc..
4.2 Alcohol, Gambling, and Wagering Advertising
Ads referencing alcohol (including incidental depictions, such as a glass of wine in a restaurant setting) require regulatory body approval:
AU: Alcohol Beverages Advertising Code Scheme (ABAC)
UK: Advertising Standards Authority (ASA) & Committees of Advertising Practice (CAP)
There may be an equivalent in other regions
Ads must not encourage excessive, irresponsible, or peer pressure participation in drinking or gambling / wagering.
Ads must not associate alcohol with gambling / wagering, sex appeal, performance enhancement, or imply alcohol is essential for success, relaxation, or celebration.
Ads must not associate gambling / wagering with alcohol, financial relief, or personal success.
Ads must not depict people under 25 or appearing under 25 consuming alcohol or engaging in gambling / wagering.
4.3. Cryptocurrency & NFT Advertising Restrictions
Cryptocurrency and NFT projects / exchanges, and related financial products / services must be registered with local regulatory bodies:
AU: Australian Securities and Investments Commission (ASIC)
USA: Securities and Exchange Commission (SEC) & Commodity Futures Trading Commission (CFTC)
UK: Financial Conduct Authority (FCA)
EU: Markets in Crypto-Assets Regulation (MiCA)
There may be an equivalent in other regions
Ads referencing cryptocurrency or NFTs must clearly disclose risks associated with such investments.
4.4. Political & Election Campaigns
Political ads must comply with additional local regulations, including but not limited to:
AU: Australian Electoral Commission (AEC)
USA: Federal Election Commission (FEC)
UK: Advertising Standards Authority (ASA) & Committees of Advertising Practice (CAP) *approval must forwarded to the CAASie team
Political ads must include a disclaimer identifying the advertising party:
AU: "authorised by"
USA: "paid for by"
UK: “promoted by” and “on behalf of”
There may be an equivalent in other regions
4.5. Location, Venue, and Regional Restrictions
Ads may be restricted if they are considered to be a conflict of interest (e.g. fitness equipment ads in gyms, retail ads in malls without a store presence, etc.).
Ads may be restricted in some venues based on audience suitability (e.g. gambling / wagering or alcohol ads in a family friendly venue, fast food promotions in a healthcare/fitness venue).
5. General Compliance & CAASie’s Discretion
Advertisers must be over 18 to use the platform.
CAASie may disclose ad content to government authorities if legally required.
CAASie may reject, remove, or limit the number of artworks / ads based on budget, campaign size, platform requirements, or at their sole discretion.
CAASie, Media Owners, and Venue Owners reserve the right to reject any ads at their sole discretion or if they:
Violate policies, local standards, or local laws
Harm relationships with users, media owners, or suppliers
Conflict with individual competitive position or advertising philosophy
